Terms and Conditions

At Waidroka Bay Resort we believe in keeping our booking conditions clear, fair and transparent. These Booking Terms & Conditions form part of every reservation made with us and are designed to protect both our guests and the resort while ensuring we can continue to provide a personalized experience and hold accommodation exclusively for confirmed bookings.

To secure your reservation, a Reservation Guarantee and Administration Fee, equal to 25% of the total booking value, is payable when you confirm your booking.

The Reservation Guarantee and Administration Fee is an initial fee charged for the services of confirming your reservation, holding accommodation and services exclusively on your behalf, removing that inventory from sale, and completing the administration associated with your reservation. The fee forms part of the total quoted booking value, and these services are fully performed once your booking is confirmed.

Accordingly, the Reservation Guarantee and Administration Fee is earned at that time, is non-refundable, and cannot be transferred to another booking, travel date or guest.
Once this fee has been received, your reservation becomes a Final Confirmed Booking.

The remaining balance of 75% is due no later than 30 days prior to arrival.

If final payment is not received by the due date, Waidroka Bay Resort reserves the right to cancel the reservation and release the accommodation and associated services for resale. Failure to make final payment does not invalidate the Reservation Guarantee and Administration Fee, which remains earned and non-refundable in accordance with these Terms & Conditions.

These cancellation terms apply to standard individual bookings and do not apply to large groups or Dive Group bookings. Separate terms apply to those booking types — please request these at the time of booking.

  • More than 30 days before arrival: all monies paid will be refunded except for the Reservation Guarantee and Administration Fee.
  • 30 days or less before arrival: 100% of the total booking value will be forfeited and is non-refundable.

All cancellations must be submitted in writing and take effect from the date they are received.
Should Waidroka Bay Resort agree to process any discretionary refund, a handling fee of 5% may apply.

Waidroka Bay Resort will always try to accommodate reasonable booking changes wherever possible.

Where a requested amendment reduces the value of the booking, shortens the stay or otherwise reduces the commercial value of the reservation, Waidroka Bay Resort reserves the right to recalculate the reservation using the rates and conditions applicable at the time of the amendment.

A handling fee of up to 5% may apply depending on the nature of the change.
Changes to airport transfers received less than 48 hours before arrival may incur additional charges where costs have already been committed with third-party transport providers.

Unused accommodation, meals, diving, surfing, fishing or other pre-booked activities are non-refundable and non-transferable whether unused through personal choice, illness, injury, weather conditions or circumstances beyond Waidroka Bay Resort’s control.

Bookings and package components may not be transferred to another guest unless agreed in writing by Waidroka Bay Resort.

All prices are quoted in Fijian Dollars (FJD) unless otherwise stated.

Published prices include applicable Fiji Government taxes in force at the time of booking.

Should government taxes or statutory charges change after a booking has been confirmed, guests remain responsible for any additional amounts payable. Waidroka Bay Resort will communicate any such changes as soon as practicable.

Bank charges and transfer fees incurred when remitting payment remain the responsibility of the guest.

Payments made by alternative methods or currencies may be accepted by agreement and may be subject to an administration charge.

Packages and promotional offers are sold as complete products and cannot be separated into individual components.

Unused package inclusions cannot be redeemed for cash, credited against other services or transferred to another guest.

Guests who choose not to participate in a pre-booked activity, or are unable to do so for personal reasons, are not entitled to a refund.

No unused package component may be redeemed for cash or credited against any other product or service.

Late check-out: Available until 5:00 pm, subject to availability — FJD 150

Complimentary luggage storage is available for guests participating in activities after check-out.
Guests arriving on overnight or early morning flights may wish to reserve the previous night’s accommodation to ensure immediate access to their room.

A valid passport with at least six months’ validity beyond the date of departure from Fiji is required.

Advisory: Fiji entry requirements may specify a longer minimum passport validity. We strongly recommend verifying current requirements with the Embassy of Fiji or your travel agent before departure.

All scuba divers must be medically fit to dive and hold current certification from a recognised diving organization.

Proof of certification will be required before diving.

Depth-appropriate dive insurance is mandatory for all scuba divers.

Guests participating in water-based activities will be required to sign the relevant liability and assumption of risk documentation. Guests declining to sign these documents will be unable to participate and no refund will be payable.

Bookings for five or more divers are considered Dive Group Packages and may include preferential pricing.

To qualify for group pricing and inclusions, the group must transfer and participate together. Additional transfers resulting from staggered arrivals or departures will incur additional charges.

Packaged dives operate on a use-it-or-lose-it basis and cannot be refunded, transferred or credited if unused.

Shark Diving is operated in conjunction with an independent third-party provider.

Should a scheduled Shark Dive become unavailable, Waidroka Bay Resort will substitute an alternative three-tank dive of equal or greater value.

In exceptional circumstances such as force majeure, emergencies or operational requirements, Waidroka Bay Resort reserves the right to provide alternative accommodation of an equivalent or higher standard.

Where accommodation of the same standard cannot be provided, a refund reflecting the difference between the accommodation booked and the accommodation provided, calculated using Waidroka Bay Resort’s published rates, will be offered.

Guests are expected to comply with all reasonable instructions given by Waidroka Bay Resort staff while staying at the resort or participating in activities.

These instructions are designed to protect the safety and enjoyment of all guests and comply with applicable Fiji safety standards.

Any behavior that breaches Fiji law or places other guests or staff at risk may result in removal from the resort without refund.

Comprehensive travel insurance is strongly recommended for all guests.

Guests participating in diving, surfing or other adventure activities should ensure their insurance provides appropriate cover, including emergency evacuation and medical repatriation.

Depth-appropriate dive insurance is mandatory for all scuba divers.

Waidroka Bay Resort accepts no responsibility for delays, inconvenience, injury, loss or damage arising directly or indirectly from circumstances beyond its reasonable control, including weather events, transport disruption, acts of God and the actions of third-party suppliers.

Transfer prices include normal luggage together with surfboards and dive equipment.

Please advise us in advance if traveling with oversized luggage or unusual equipment, as larger vehicles or additional transport arrangements may incur a supplementary charge.

While these Booking Terms & Conditions form the basis of our agreement, we also recognise that travel does not always go according to plan. Whenever possible, we will work with our guests to find practical and fair solutions while balancing the commitments we have already made to hold accommodation and services on their behalf.
