Payment:

DEPOSIT:

A non-refundable deposit of 25% of any quoted package is required to guarantee a booking and thereby making a reservation. Deposits can be made via credit card or bank wire transfer, as per below terms.

FINAL PAYMENT:

To finalize your booking, full payment is required 30 days prior to your arrival date. Waidroka Bay Resort reserves the right to fully cancel and release the rooms held for any reservation/booking not paid as per above conditions.

CREDIT CARD & WIRE TRANSFERS:

All listed & quoted prices are cash discounted rates to be paid in F$ in cash or electronic transfer directly to our bank account. Standard rates are 5% higher than above stated cash-discounted prices and are applied to any other method of payment, including Credit Card Payments, which should be borne in mind by those considering settling by credit card. We accept Visa, MasterCard and American Express cards.

The remaining balance is due on check-out.

Cancellations and changes, refunds

CANCELLATION GUIDELINES:

For bookings cancelled prior and up to 30 days before guest arrival dates – the original holding deposit (of 25%) is non-refundable and forfeited.

Bookings cancelled less than 30 days prior to arrival – are not accepted and the full 100% booking value is forfeited – no refund will be made.

For any bookings, which a guest is trying to change prior to 90 days in advance of his/her stay, Waidroka will always try to accommodate such changes if possible and reasonable, as well as not involving any significant revenue loss, whilst a 5% handling fee will apply.

Waidroka Bay Resort is always willing to try and accommodate changes to reservations if an emergency need arises. Changes to reservations will cause the itinerary to be re-priced at the current standard pricing for the rebooked dates. Any package previously quoted will be invalidated. If rebooking is requested, Waidroka Bay Resort cannot guarantee availability or price for new requested dates. Waidroka will choose to find mutual solutions for all problems of this nature, HOWEVER cannot accept revenue losses due to late cancellations or changes. In such case it is for the customer to accept full responsibility (or from their respective insurance company – we always advise for insurance cover for any reservation).

A guest deposit is understood to be a formal & binding commitment to pay for the vacation package in full, to take the activities that you requested and that Waidroka Bay Resort fulfilled in good faith. The original deposit is non-refundable. Furthermore, submission of a deposit by any guest indicates that guest’s full acceptance of our Terms & Conditions.

 When a booking is made, space is held and other bookings are turned away. We stand by our confirmed bookings and respectfully request that guests do the same. We thank you for your understanding.

Where a guest fails to complete a dive, dive course or fails to participate in pre-booked or packaged activities for any reason (including ill health) or free choice, they will still be charged for the package. For example, if a guest books a package which includes 5 days of diving and on the third day they abort their first dive because they couldn’t equalize. When that guest checks out, they will still be charged for the package and advised to make a claim on their travel insurance (see insurance).

 

Pricing:

All published prices are inclusive of VAT (15%) and Service Turnover Tax (5%). All VAT and ‘Service Turnover Taxes’ inclusive prices advertised, are subject to possible changes, without prior notice, in case of sudden or unexpected tax increases by government. Prices do not include new taxes or changes in tax rates, or other charges that government or service providers may impose from time to time. Guests will be responsible for paying any such taxes/charges on checkout. We will endeavor to communicate any such changes to you as soon as the details are made available to us.

Packages:

Packages, which are advertised or promoted, or ‘Specials’ are all inclusive of all components within such packages and cannot be broken into individual component parts. Specials are calculated as such, that none of the components can be transferred from one person to another in any way and form and if one or another component is not used as such by an individual, such component is not transferable nor worth any cash value for other cots of the resort.

 

Dive Group packages:

Any diving package booked for 5 or more divers is defined as a dive group package. Dives must be taken by the group as a group (together at same time), with at least 2-tank dives per boat-dive day (if sold as a 3-Tank the same applies to such number of dives per boat dive day), until the dive package is exhausted. Dives cannot be split, taken singly or transferred to other persons. Individuals within the group may not choose to refrain from diving on a particular day and carry forward part of their package to use at a later date. The number of dives per boat trip are identified by Waidroka in each specific quotation and cannot be changed by the guest unless specific circumstances occur and Waidroka agrees to change the number of boat trips. Afternoon and/or night dives cannot be taken as part of the package unless agreed in advance. Any changes of this policy can be arranged, however must be done so upfront as part of the booking of such packages.

 

Packages do not include:

Airfares, snorkel or dive gear hire, beverages, bar tab at the resort, additional to be paid for activities unless stated as part of a quotation. The resort supplies tanks and weights included in the price of any dive. All dives are boat dives unless otherwise stated. Any person going on boat trips even if the activity is not defined, is to pay for such trip accordingly at the agreed rates.

 

Booking Procedure:

Bookings can be made either in person, by telephone or email. Upon receipt of a booking deposit, Waidroka Bay Resort will email a return confirmation at which point the booking will be fully guaranteed under these terms & conditions.

 

Documentation:

A passport only is required if you are citizens of the United States, Australia, EEC and New Zealand. The passport needs to be valid for three months after the return from travel. For other nationalities, please contact your nearest Fijian Consulate.

All scuba divers must be medically fit to participate in SCUBA diving activities (and other resort activities) and hold current certification from an accredited and well recognized diving organization. Proof of certification will be requested prior to diving. Guests will be required to sign liability waiver and assumption of risk documents prior to participation in any water based activities. (For example, the standard PADI Boat Travel & SCUBA Diving Assumption of Risk form) Refusal by a guest to sign such documents will prevent the resort from providing such activities.

 

Accommodation Substitutions:

Waidroka Bay Resort reserves the right, at any time for good & just cause – such as an act of God, an emergency or an on-site facility problem – to substitute alternative accommodation. Any substituted accommodation will be of equal or better standard to that originally booked, whilst if such standard can be delivered W Bay Resort will refund the guest adequately, as per official rate differences of such accommodation options.

 

Children Policy:

Children under the age of 6 years will not pay any accommodation charges. From the age of 6 to 12 years old children will pay only 50% of the normal accommodation charge. Any child above the age of 12 years will pay the normal and full adult rate for accommodation.

Waidroka Bay resort does not formally offer babysitting services direct. Fijians are however fantastic baby sitters with great patience, understanding, endless smiles and simply love children. The resort can arrange for a babysitter if we are notified upfront; however Waidroka Bay resort accepts no responsibility for such services.

 

Disabled Persons:

Fijian law does not require island facilities to be A.D.A (American Disabilities Act) compatible. Waidroka Bay Resort is located in a remote setting, in the midst of the beautiful rainforest and does not have handicap or semi-handicap facilitates, however we have had quite a few handicapped people visit us and stay with us and usually manage, as we find it a great honor to share our special paradise with all who wish to experience Fiji and Waidroka.

 

Guest Responsibility

Guests are required to follow any directions given by Waidroka Bay Resort whilst participating in any of the resorts offered activities. All of Waidroka’s directives will be in line with safety standards and are there to provide safety to all of our guests. Any action by a guest which is described as illegal under the laws of Fiji will result in the guest being removed from the premises and the appropriate authorities being informed. We reserve the right to restrict or withhold any activity or service where we believe that the acts or behavior of a guest may endanger other guests or staff of the resort or detract from other guest’s enjoyment of their activity or stay. An example of this would be if a diver ignored instructions from a dive master or boat passenger ignored instructions from the driver/skipper. In such instances, the full charge relating to guest’s booking will be levied.

 

Insurance: ! PLEASE READ – IMPORTANT!

Waidroka Bay Resort does not accept responsibility for any delay, additional expense or inconvenience which may be caused directly or indirectly by events outside of the company control, such as late arrival of domestic or international flights, civil disturbance, fire, floods, unusually severe weather, act of God, act of Government, or the failure of any machinery or equipment. Additionally, the resort will not accept any responsibility for any injury, guest loss of or damage to personal equipment and property whilst staying at the resort, or during participation in any activity.

We strongly recommend that all guests take out adequate travel insurance which covers accident, loss caused by cancellations, loss of luggage, personal property, medical expenses, medical evacuation and weather disruption / cancellations (including activity cancellations).

Guests intending on participating in diving activities must ensure their insurance covers them for SCUBA related activities and has appropriate ‘depth ‘coverage.
